March 12, 2003

Treasurer Report: Submitted and accepted.

Guest: Mike Hudson (race director-15K) and Scott Anslinger

Race Timing: Race at Shoe Carnival has been completed. More than expected showed up. Shane needs the disk and manual for the Run/Score program. This program is constantly getting updates. The cost is $50. But we might be past warranty for this. And it cannot be installed onto a computer without a disk. Gordon and Shane will check around.

On the St.Pat's race, Shane could not copy to their computer. But he did download a free for 30 days. 

The club gave permission to Shane to purchase want is needed for the computer. Kent Scheller will be the back up timer/computer. 

Web Page: Greg had updated all material on the web site. Up to 15,000 hits now. He prefers a document over email. But can work with both.

Banquet: On the expenses, this year we had a loss of $85. But it is an improvement over last year with a loss of $216.

Race Calendar: Joe will need info of any new races being held. French Lick will be a new one. Mt. Vernon (Brian Allen) race is on June 7th. We will use cards on this race. WABX race will use the computer. We are not timing the Owensboro race. 

Rockport race and Senior Olympics are on the same day, but the Senior games will use the computer and will do something else for the Rockport. (Maybe borrow USI's)

Walkers Report: Mike Hudson has filled in for Bob Head tonight. The 15K is less than three months away. He will have an entry form ready in a week or two. It will be placed on the web page. New Balance is the major sponsor. And GERWC will time this event.

Bob Head is in charge of lap counters. And we need lap counters.

Membership: We have 103 renewals so far. 19 are freebies. Janet has sent about 15 Thank you cards to the new arrivals. Wants to update, and will send Greg and Jerry a new list. Will also send Shane a list of names that are sold for $50 to other race directors. We need to build the membership. Some of those renewing has asked for articles on what exactly each committee member does.

Newsletter: Each committee member needs to submit an article of what their job consist of. All articles need to be in by April15th! The last newsletter came out late. It took the printers 17 days, from last day of proof. It should only take a max of 1 1/2 week. Jerry will be out of town for the first two weeks in April. But send him stuff anyway. Preferably in Doc. Form. 

Richard will get an estimate from Pip printing. 

We usually get 40-50 extra, to get bulk rating. Jerry wants to send a newsletter to the kids. He will send Katie's to Mater Dei in care of her name. And will send a group of newsletters to Coach Sellers at Mt Vernon. He will include a blurb about membership dues. Jerry needs a list of all group runs with times, and places.

Picnic: Scheduled for August. On a Sunday afternoon.

Step-Up: Getting a lot of calls for new clubs. Mt. Vernon, New Harmony, Newburgh, Christ UCC. Toyota race is going okay. Flyers are out now. Will have a special meeting on March 27th for this. 

Scholarship: Had two app's that met all requirements but one. Joe had sent them a letter telling them this. For fall semester we will change this to be an open scholarship. This has been voted and approved by the board. 

Special Events: Don an Chad will get together and discuss getting a survey ready to put in the newsletter on asking the members what kind of workshops they would like to attend. They will also ask about time length of these workshops, days best suited for and time of day and where. What would the cost be of these events? They will have a Q &A session too.

Old Business:

Brochure: Richard and Don will get an estimate on how much a tri-fold cost. But this will also depend on the quantity of contents. It needs to be on glossy paper. 

Business Cards: Is there a need for this. Jim had suggested that it would be good to hand out to race directors for future reference and possible new races. 

New Business: 

Scott Anslinger has spoken to the club on getting help with a new race. Possibly, held in the Tell City area. To be part of a fund raiser for Rescue Mission for Endangered Species. Gordon will give him any advice that is needed. It will be a possible race for 2004.

Summer Track Program: Gordon has come up with this idea. We would like to use the facilities at CHS. But will have to pay for grounds, electricity, and janitor. This would be open for all ages. It will be a training program for after track season. It would be good if we can give ribbons out after each event. No pole vaulting though. 

Vice President: Rob is resigning as vice president due to work schedules. Next meeting we will need to nominate a new vice president. Any nominations please give to Gordon. 

Next meeting will be on April, 9th, 2003
