GERWC Minutes Meeting, January,10, 2002

Treasurer Report: Submitted and approved by board. We still have to pay USI for their half of the Jingle Bell and Thanksgiving races. Y Not 2K made $121.87. 

Race Timing/Web Page: Trying to keep the web page up to date. Nancy Johnson asked to put her race flyer on the web page. It is for the Eagle USI race in April. We will only put flyers of the races we time on the web page. Unless the race director wants to pay for it to be put on. Maybe $50. Black and white copies of the web page will be put in race packets. This was voted on and approved. It will have Chad's email address for contact person. Chad is comprising a list of all who runs the current races so we can comprise a new mailing list to sell, to a race director for $50. Last year St. Patrick Day's race had 212. We will be trying out the new computer equipment. On a fun race for Shoe Carnival (employees only) on Feb 24th at 10AM. 

Banquet: Food is ready, along with the drinks. It will be once again a pay bar (beer only). All ballots have been sent out in a special mailing. Jiffy Print can run copies of the program also, or it can be done at Office Depot. The flight reservations have been made. Donations are coming in slowly. There will be a clinic at Tri-State on Saturday Feb 9th, between the hours of 1-3 PM. Another special meeting will have to be made soon. At least by the end of Jan. or no later than the first part of Feb. I will arrange this. 

Race Calendar: "Snowflake" race will be at USI on Jan 19th. The cost is $5 with no shirt. And few awards. The Art's Council is thinking about sponsoring a half marathon. Cedric is talking to them now. YMCA will do the Series Cup again. They had gotten all of the sponsors back. Joe has new races that will be in the next newsletter. 

Walker's Report: National 15K will once again be in here in Evansville. On June 2nd. The race director is Mike Hudson. We will need lap counters. The race is schedule to start at 7:30 Am. GERWC will donate the timing and Chad on the computer. He will put the race flyer on the web page as soon as it is ready. 

Membership: Please let Elizabeth know if you do not receive a newsletter or that you know someone who hasn't. She is now in charge of membership. 

Newsletter Report: The newsletter will be late this time. Everything got lost in the hard drive. Janet Beemer will officially take over after the banquet. Congratulations to Janet for running the Disney marathon in 3:33! 

Step-Up Club: Tom has been contacted about the clinic on Feb 9th. He will let the leaders know. They have one boy who has made the 61-mile mark! He had 2 potential leaders see him at the Ynot2K. In April there will be a Toyota Race to help the Step-Up raise money. Race Committee on this will meet at 5:30 at the next meeting. All proceeds paid on the entry forms will go to the Step-Up. The Race Director for this race is Richard Tenbarge. Contact him if interested in helping! The application to this race will be on the web site. We will try to get some kids interested in the 15K in June. Rob needs to be contacted on measuring course. The course will not be certified. 

Scholarship: No takers this time. Will have to mention this at the banquet that it is out there! Will revise for next year. 

New Business

Club Communication: We need to coordinate the mailings. PLEASE talk to Gordon before any mailings are to be made or money is to be spent! There will have to be money down before mailings go out. Cannot send out bulk mailing unless money is in the account. Call ahead of time to check. There is also a new postage rate. 

Finish Chute: I have submitted the name to Gordon of the person who has made the plates. It will be brought up at the next meeting. 

Ynot2K: Race next year might be a 5K. Complaints made about the cost, and some feel that it should be a longer race. If First Night is not approved for next year, Art's Council will try to get the Y as a sponsor. It was a good race. Arts Council had everything set up. 

Other
1.As stated above Shoe Carnival wants to rent the clock and have split times for their event on Feb 24th (Sun) It is at 10 AM. Drew has volunteered to help Chad. 
2. It will take 8 people to help with the timing (computer) at the Arts Fest. We have 2 races before to train. 
3. Drew and Linda Swonder with Gordon have volunteered to learn. Contact Chad Hartmann on volunteering. 
4. In 2001 the Thanksgiving race had 531 people attend. We charged $3 ahead to do timing, results and road management. 
5. We will recognize Integra Bank for a special award. (Donation to the Ynot2K) 
6. We have voted that Drew Swonder will serve as a new board member.
