GERWC Minutes
Aug. 14, 2002
Attending: Gordon, Rob, Joe, Ray, Bob L., Bob C., and Carol.
Tom, Ced, Drew, Chad, Jim, Linda, Bob H., and Craig
Treasurer Report: Submitted.
Timing/ Web: Web: Jasper race and Boy Scout race results
are on web site. Chad has some interested parties wanting to know if it
was possible to post a message board. So now it is up and running.
There are now 117 working e-mails on a group list. They will receive messages
from Chad, on up and coming races and what type of volunteer work is needed.
Timing: A count of 292 at Jasper. All the races held that day
were in good attendance. We have a new race we might time, it is
the Fernand race on Oct 19th. (?) We will now time the Boo Run at USI.
Daviss Co race was postponed until further notice. Possibly spring.
The split 8 timer (this one is a back up to a back up) needs work done
to it. Ray Pritchett will get and estimate. But it is not needed till fall.
We set this estimate limit at $100.
Banquet: From a recent phone call from Anne Audain, she
stated that she would speak for $500. The club says this is too much for
a local speaker. So I tried Pat Shoulders, and he is booked up with other
commitments. I have possible others with, Bob Tank. But club was not interested
in Mary Beth Owen.
The quote from Anglo’s was $12 per person, and can wave the $100 room
fee. This was not approved.
We will go ahead with the SWIRCA blding. Bob Lauderdale will check
the dates of Jan. 18th, 25th and Feb. 1st. To see if it is available at
these times. He will get back with me. Bob Tank has said he will speak,
and I will get back with him on the date available. I will get quotes
from other restaurants on catering. And will have these at the next meeting.
We hope to get the cost back down on the food.
Race Calendar: Pike Co. race was not listed in the newsletter.
Boo Run is added. Thanksgiving race director has not contacted Joe yet.
Walker’s Report: In September, Drew will talk with New Balance
rep. On sponsorship. He will have a package together then. We are having
Mike Rohl up for a clinic, at the first of the year. Will have more info
end of Sept. Mike Hudson (race director for 15k) has sent the bid application
in to USATF. We have had a lot of positive feedback on the race.
Membership: No new info on this.
Newsletter: Deadline for articles is Sept 23rd. Please
submit to Janet Beamer. If anyone has a spotlight, contact her soon.
Step-Up: 2 potential new clubs. Tri-State and pres. Of
the PTA at Tekoppel School. We have a new club at Grace Church. Will
order more incentives for the younger kids. Will send message to Chad about
co-leaders. Have 4 leaders with no kids.
Scholarship: Joe sent info on this to Jean at EVSC. And
will send to all other surrounding school counselors. Will offer in the
spring.
Old Business:
Picnic: The numbers were down. Only 6 or 7 board members were
there. There was not much to do after the games.
Arts Council ½ Marathon: They are holding monthly meetings
on this. Will meet with Old National Bank soon. And they will speak with
the Y on using facilities. Talk is on having the Executive Inn as host
hotel.
New Business:
Special Events Coordinator: This will be a different committee. Craig
is in charge of coordinating events.
Ray Rayl Race: Ced is working with the Otters on this. They are excited
on it. Start/Finish at Bosse Field.
No age group winners. Janet Beamer is the race director. Will receive
free admission to the game that night. T-shirt with entry fee. Sat eve
race. Clock only, no timing results. Will use a handicap. A 3k course
is already marked. How soon before game, should the race start?
Club Brochure: Still in the works.
RRCA Membership: We had the right insurance for the members, but found
out that the board members were not covered. Ced will get this started
right away. With this membership we will get National recognition
on all races we do. Can enter newsletter with them. Will highlight
the Step-up program.
Channel 14: (Terrence Bates) show about our runners/walking club. Gordon
will try and set this up. Gordon will email some members, and let them
know if this is a go or not.
Ynot2K: Discount entry fee with or without buttons? Ced will take this
question to the Art’s Council. Will use clock only. Maybe go cheaper with
a short sleeved shirt or sock hat.
Shirts for Board: Ced had a sample from Chips. He also has a catalog.
The shirt he had was of heavy weight material. Will go lighter on weight
of fabric. Singlets, imprinted will cost $22. What is cost of Pearl Laundry
doing the embroidery? Colors will be blue shirt with gold type lettering.
Voted to purchase a thinner shirt. Will get quotes from other places
before purchase.
Other: Gordon is checking the by-laws on how many meetings
a board member misses. The club voted on having to attend 6 meetings a
year, to stay on as a board member.
Cross-country season is coming up. Will have meets at USI on Tues.
and Thurs. 3-6pm. Jim will have a schedule next meeting.
Next meeting: Sept. 11th, 2002
