GERWC Minutes           Nov. 14, 2001

Attending: Gordon, Joe, Bob L., Ray P., Bob C., Cedric, Richard, Ann, Bob H., Craig, Chad, Linda, Carol, Tom, Jim.

Treasurer Report: Submitted. But the savings account will get used for computer equipment.

Race Timing/ Web Page: Chad would rather use a Timer, Than the split 8 timer. So ordering a new one will be put on hold. Web Page- Chad had retyped the whole thing. He has revised the membership app that will go on the web page and pro-rated the fees. Gordon looked this over and agreed it was right and will give to Elizabeth to put in the newsletter. But it was also decided to add email to this to.  Chad would like to get a list of races that we always time and a close date on which they fall. Jim will try to get these to him soon. Need volunteers for Thanksgiving and Jingle bell races. But will not get a T-shirt.  We will be charging $3 ahead for the Nov 22nd race. Timing, results and road management is involved. Chad has come up with an Itemized list of what computer items are needed and the prices. Roughly about $3500.  Laptop: $1799 (Gateway) Bar Code: $190, Timer: $ 995, RunScore: $ 250, plus 
$ 50 each year for update.  Printer: $ 175, Ink Cart. $ 25, With a total of:  $ 3434.  This was voted for and Chad will contact Cedric on getting the necessary checks to purchase these items.

Banquet: The speaker will be Jonathon Matthews who is a Runner, Bike rider and walker. The price will be $500 plus hotel. Will he be doing any kids clinics?  Deleggies will be the food. And the cost will be $15 per person. Is the SWIRCA blding still free? Since there was no race.  Food money will be sent to the PO box 

Race Calendar: Tri-State race will be on March 16th, 2002.  Walker's Report: The bid has been submitted for the National 15K. The walkers are waiting for final answer. Set date is June 2, 2002

Membership: Will be given to Elizabeth in January to take over. She has some new ideas for renewal. Close to 300.

Newsletter: Have articles by thanksgiving weekend. Put application for Banquet in newsletter.

Step-Up: Currently has 10 clubs going. There is a list on the web page. Prizes will be given at certain distances. Will try to stay small till this is really organized. Has list of awards for mileage. Will charge for logbooks. $ 7 or $8 for one, or cheaper for a bulk amount (say 30 +) Toyota race is April 13th. Registration goes to Step-Up. Will we charge for timing?  Who can find out?

New business: Non Profit Mailing Status: $ 125 for stamp. But this is a one-time fee. 200+ for bulk mail to get this. Mailings have to be same size in one bulk mailing. But can only go Downtown to mail. Will have to do sorting by zip codes. Hopefully we can get this by next newsletter.

Scholarship: No action on this. If we don't get anyone, will revise for next year. Will the money roll over in the CDs?

Old Business
1. Y not 2K entries are in the final stages. Will go on web page as soon as available. Have a $ 500 sponsor and two $ 50 savings bonds. It will be a Patriotic Theme. Richard has gotten the parade permit. Post race at the Centre, with a table for Step-Up. Need help with the Clean Up! Contact Ced on volunteering. Will rent an Uncle Sam costume for Bob Lauderdale to wear that night. Race route is made, and React has been contacted.  Race starts at 4 p.m. with post race at 5-6pm. Need First Night entry button to get in. $4 for the button. ? For T-shirt. Is it all included in one price?  Will only set up the clock.
2. Awards for Banquet: Number one for high school boy, girl. Number one team in Tri-state (Castle) Gordon will take care of getting trophies and certifications.
3. Nominations for runners/walkers (open, masters) give to Gordon if anyone has any ideas. Needs to be a club member. Special awards also will be give.
4. Jingle Bell will be Dec 8th.Need volunteers. 9:30 am. Tom, Carol, Ced (food) will volunteer.
5. Thanksgiving Need volunteers, please contact Gordon on helping with this race.
6. New Job Duties: Membership: Elizabeth, Newsletter: Janet Beemer. Rob will no longer have any position at this time.
7. Board Elections: Vote on Dec 12th. President, Vice, Treasurer, Secretary. Cedric is checking by-laws on how long the term is on each of these officers. Will know next meeting.
8. River Run: Will be $2 ahead for timing and results. But this was only a verbal agreement.  Start/ Finish Downtown is suggested. Will have Big time runner for a speaker. Or if flooded it will be at USI.
