GERWC minutes                        Dec.12th, 2001

Attending:  Gordon, Linda, Tom/Carol Anderson, Jim, Bob Lauderdale, Bob Head, Chad, Ray Pritcett, Joe, Cedric, Craig, Bob Christmas, Janet, Elizabeth, Ray Rayl

Treasurer Report: Savings: $4935.89 with $1400 going for Computer Purchase, Balance as of 11/30 is; $3535.89      Step-Up checking: $2770.94        Balance  of General checking: $1075.01 as of 11/30

Race Timing/Web Site: There are pictures with results now. Will use new equipment on the St. Patrick’s Day 5K. Chad has ordered Laptop Computer, Bar Code Reader, Time Machine, Printer, Ink Cartridge, Printer Cable, External Mouse, Computer Case, Sprint 8 Timer, and Data Cord. The RunScore Program was not purchased yet, as Chad will purchase on his own and get reimbursed.  Jingle Bell had 120 participants with billing at $2 ahead. There will be no more timed races with USI. Gordon will talk to Mike (at USI) about the Club timing on USI campus. Because some race directors who have races at the campus, like to use GERWC instead of USI on timing. The Ynot2k and the Toyota race (April) entry forms are on the web page.

Banquet: Mail all Banquet forms to Gordon’s house. Will have the bio on one side, with the nomination list on the other, with a tear off at the bottom, to mail out for dinner reservations. Door prizes? Will there be any? The banquet committee could use some help with getting some items donated!  Linda is sending a letter to Aztar on donation of room to Jonathan Matthews. The flight will be made with Delta Airlines.

Race Calendar: Will have a new updated list in the Feb issue of the newsletter.

Walkers Report: The Southern Ind. Racewalkers were awarded the National 15K at Wesselman’s Park on June 2nd with a start time of 8 am. Volunteers will be needed! There were 76 participators last year, and the GERWC Club did a great job of volunteering! They also will volunteer their timing equipment again for the race in 2002 (voted). Tim Seaman would like to be the speaker for next year at the banquet too.

Membership: The YMCA wants to join the club and receive a newsletter. Voted for a free membership. Will add to the mailing list.

Newsletter: The change over for the head of this is in process. Elizabeth is handing this over to Janet Beemer. Janet is in the process of learning the in.’s and out’s of this, plus learning about who advertises with us. Welcome Janet to the Committee!

Step-Up Club: Step-up has gotten the t-shirts for the 26.2 mile club.April 13th is the scheduled date for the Toyota race. Step-up gets the proceeds from this race. They also get to name the race. Toyota is donating $10,000 to this race, and the rest goes back to the Step-up club. They will need someone to measure the course, water stops .  There is 10 clubs in existence. Need leaders (school, churches) there is no trouble finding kids though. Right now they are trying to set up pictures for the table at the Ynot2K and get a banner made.  They need negatives of kids. Carol has the non-profit slips for the club.

Scholarship:  No one has shown any interest. Will hold this for next year.

New Business: Awards for banquet: Will order thru Tri-State. Will award certificates to runners/walkers. The nomination’s can be from 3 to however many. Please send the bios to Gordon ASAP.
Ynot2K:  Richard has the course lined up with volunteers. Evansville Viper’s has agreed to help. Cedric is ordering about 150/200 shirts. Volunteers will get one (20) cost will be $9 apiece. Art’s Council wants 10 @ $10 apiece. Step-up wants 10. $4 apiece for the button. (Club pay’s)  3 for Integra Bank (sponsor). It is okay for us to bring in other caters. Step-up will have a table. We will have 8 tables set up (provided by the Centre). Race Day registration is okay. Ced will do cashbox. Fazoli’s is catering. Schnuck’s for cookies. National Guard is doing colors. Police are set. Will have a firetruck available. Medical Services? Elizabeth will find out. There will be a clean-up committee needed. There will be no results. Need 6 volunteers at the registration tables. If wanting to help please show up at 2:30.
The club would like to buy a longer finish shoot. Make longer and lighter. Need 2- 200 shoots for Art’s Fest. Will need about 30/40 plates. Bob Christmas will contact Rick Williams on where the plates were made.
Parks Foundation: They will buy a chip machine for the Art’s Fest race. All help will be provided by the Foundation.

Board Elections: New Officers were named for 2002. President: Gordon Benfield.  Vice President: Rob Halbig.  Treasurer: Cedric Hustace.  Secretary:  Linda Swonder. Also we have a few new members of the board. Carol Anderson, Bob Head, Chad Hartmann, Janet Beemer, Richard Tenbarge. If you would like to serve on the board contact Gordon or one of the following people.

The Ray Rayl award winner has been selected and will be given at the awards banquet.. Congradulations!
Speaking of which, Ray is feeling a lot better.  And was in attendance at our last meeting.
